Finance and Operations Manager

Looking for an exceptionally organized, strategic, and resourceful Finance and Operations Manager to work directly with our CEO in managing a range of personal and business projects.

This role is for someone who thrives in dynamic environments, a true Swiss Army knife who can switch between financial management, operations execution, and strategic coordination across multiple domains. You’ll act as my right hand in ensuring that priorities are executed smoothly, systems are efficient, and projects move forward with precision and momentum.

The right person enjoys a diversity of work, will have a bias toward action, be comfortable with ambiguity, and know how to bring order to complexity, whether that’s managing financial workflows, coordinating key initiatives, or improving operational efficiency using modern tools and AI.

This position is remote, open to candidates all over the world. 

Salary range: $45,000-$75,000 depending on experience

1. Finance and Organizational Operations

• Coordinate monthly financial operations including salaries, invoices, reimbursements, and budget tracking.
  
  
• Manage financial records, statements, and expense categorization using tools like QuickBooks and Google Sheets. Quick to learn new software.
  
  
• Support HR and team operations: onboarding, contracts, and systems for staff coordination.
  
  
• Prepare financial summaries, reports, and materials for partners, donors, and stakeholders.
  
  
• Maintain accurate tracking of compliance requirements, renewals, and key deadlines.
  
  
• Oversee digital organization systems (files, tax documents, subscriptions, warranties, and payments).
  
  
• Manage inboxes, scheduling, and communications to ensure smooth execution of ongoing operations.
  
  
• Conduct research and due diligence for key decisions, vendors, and partnerships.
  
  

2. Executive and Business Operations

• Partner closely with the CEO to manage and oversee activities across multiple ventures.
  
  
• Track performance and operations across business projects, including investment, property, and entrepreneurial activities.
  
  
• Coordinate logistics, communications, and follow-ups to ensure timely execution of priorities.
  
  
• Liaise with external partners, service providers, and staff to resolve issues and ensure operational continuity.
  
  
• Leverage AI tools, automations, and dashboards to increase efficiency and insight across business operations.
  
  
• Conduct research and gather vendor quotes.
  
  
• Identify opportunities to streamline systems, reduce friction, and improve execution speed.

• Experience: 3+ years in finance, operations, or executive management. Experience in startups, business management, or high-performing teams is a plus.
  
  
• Skills: Exceptional organizational, analytical, and multitasking abilities. Strong attention to detail. Highly proficient in digital tools and automation.
  
  
• Personal Traits: Self-starter with a “get it done” mindset. Reliable, adaptable, and comfortable managing multiple workstreams. You enjoy solving problems, creating order, and driving outcomes.
  
  
• Education: Bachelor’s degree preferred; relevant experience and mindset are more important.
  
  
• Style: Obsessed with systems, efficiency, and continuous improvement. You think in processes and solutions.
